Version: Beta v1.6
Effective date: 6 October 2026
Service: KinCart
Data controller: Paul Adeduntan, trading as KinCart
Contact: privacy@kincart.co.uk
Privacy at a glance
KinCart is built around private shared contexts rather than public profiles.
- Information inside a Household or Support Circle is available according to the permissions for that context.
- Membership of one context does not provide access to another.
- Organisation sponsorship does not automatically provide access to private Support Circle content.
- Where financial features have separate permissions, ordinary Membership does not automatically provide financial access.
- KinCart does not sell personal data to advertisers or give advertisers access to private Household or Support Circle content.
- KinCart does not use member data to create contribution rankings, reliability scores or individual performance dashboards.
- The beta is for adults aged 18 or over.
- KinCart should not be used for sensitive clinical, safeguarding, emergency or other high-risk records.
The rest of this notice explains how KinCart handles personal data in more detail.
1. Who we are
KinCart is currently operated by Paul Adeduntan, trading as KinCart, who is the data controller for the current public beta.
This means the controller decides why and how personal data is processed for the beta.
You can delete your KinCart account from Settings → Data & privacy → Delete my account. For other privacy questions or rights requests, contact:
privacy@kincart.co.ukIf KinCart later operates through a company or another legal entity, this notice will be updated to identify the relevant controller.
2. What KinCart is
KinCart helps adults coordinate everyday shared Needs and practical context within Households and Support Circles.
A person may participate in several different contexts.
Each Household and Support Circle is treated as a separate privacy boundary.
Selecting or joining one context does not provide access to another context's members, Needs, conversations, Activity or other private information.
3. Personal data KinCart processes
The personal data involved depends on the features you use.
ACCOUNT AND ACCESS DATA
This may include:
- name or display name;
- email address;
- authentication information;
- account status;
- beta access status;
- information needed to maintain account access.
HOUSEHOLD AND SUPPORT CIRCLE DATA
This may include:
- Household or Support Circle name;
- member display names;
- Membership and Membership status;
- invitation and joining information;
- selected context;
- context settings;
- member availability or unavailability information where used.
NEEDS AND SCHEDULES
This may include:
- Need title and details;
- quantity or practical context;
- “For” context where entered;
- Schedule information;
- Need state, including current, completed or hidden;
- Keep in View status;
- Could not find this status;
- timestamps associated with creation, updates and state changes.
KEY CONTEXT
Support Circles may include Key Context.
Key Context is intended for stable, everyday, non-clinical information that authorised members may reasonably need to understand the wider situation.
It should not be used for medical, safeguarding, legal, financial, emergency or other high-risk information.
NEED CONVERSATION
Where available, this may include:
- messages and replies attached to a Need;
- the account associated with a message or reply;
- timestamps;
- information needed to display the conversation to authorised members.
NEED-LINKED SPEND
Where available, this may include:
- receipt images;
- merchant or store information;
- transaction or purchase dates;
- items or descriptions;
- amounts;
- information extracted from a receipt or entered by a member;
- confirmed allocations;
- links between spending evidence and one or more Needs;
- changes or corrections to spending evidence.
KinCart may use automated tools to assist with extracting or suggesting information from receipts where that feature is available.
A member must confirm relevant information before KinCart treats a suggested Need association as confirmed.
ACTIVITY AND REPAIR HISTORY
This may include:
- meaningful changes within a Household or Support Circle;
- Membership changes;
- Complete;
- Hide;
- Show Again;
- Add Again;
- Could not find this changes;
- relevant context changes;
- timestamps;
- system-generated Activity descriptions.
TECHNICAL, SECURITY AND PRODUCT DATA
This may include:
- device or browser type;
- operating system;
- app version;
- technical logs;
- errors;
- security information;
- limited product-use events needed to diagnose problems, understand beta activation and improve reliability.
KinCart does not use this information to create person-level contribution rankings, reliability scores or member performance dashboards.
ASK KIN
Ask Kin is a read-only interpretation layer over information the signed-in member is already authorised to see in the selected Household or Support Circle.
Ask Kin may process a member's question together with authorised structured KinCart information needed to answer it, such as current Needs, supported Activity facts and Schedule information.
For Need Conversation, Ask Kin may use limited metadata for one exact Need, such as whether non-removed participant messages exist, the number of participant messages, and whether another participant has added new Conversation context since the asking member last opened that Need's Conversation.
Ask Kin does not read, summarise or return Conversation message text, does not expose message-author names or per-member Conversation counts through this metadata feature, and does not count removed messages or system update lines as participant messages. Asking about Conversation metadata does not mark the Conversation as viewed or clear its new-context indicator.
Ask Kin does not widen a member's permissions, does not provide access to another context, and does not grant financial visibility that the member does not already have.
The current beta does not use Ask Kin to make decisions for members, rank people, assign responsibility or act on a member's behalf.
QUIET UPDATES AND DEVICE NOTIFICATIONS
If you enable Quiet Updates, KinCart may process notification preferences and technical push-subscription information needed to deliver notifications to that device.
This may include a push-subscription endpoint, public encryption keys, device or browser information, delivery status, and records needed to diagnose failed or expired subscriptions.
Quiet Updates are optional and specific to a Household or Support Circle. A notification shown by the device may include the context name. Need titles, Schedule details, conversations and financial information are designed to remain inside KinCart.
CALENDAR CONNECTIONS
If you choose to connect a Schedule to your calendar, KinCart may create a private subscription-feed URL for your account and maintain event identifiers needed to keep that calendar entry connected to later date or time changes.
The private calendar link should be treated as confidential because anyone who obtains the full link may be able to read the calendar feed until access is revoked or the link is replaced.
Calendar providers control when subscribed-calendar updates are refreshed and may process the calendar-feed information under their own terms and privacy arrangements.
SOURCE INFORMATION
This may include information showing how someone reached or joined the beta, such as:
- referral source;
- beta cohort;
- website link;
- campaign source;
- community or social channel.
FEEDBACK
If you choose to provide feedback, this may include:
- comments;
- bug reports;
- screenshots you choose to provide;
- technical information you provide;
- contact information where you agree to follow-up.
4. Information other people may add about you
Because KinCart is shared, another member may add information that refers to you.
For example, another member might include your name in a shared Need, add practical context involving you, reply to a Need Conversation or make a change that appears in Activity.
The source of that information will usually be another member of the relevant Household or Support Circle.
KinCart's technical records may identify the account that created or changed an entry, but KinCart does not independently verify every real-world statement made by members.
If information about you is inaccurate, inappropriate or should be removed, contact:
privacy@kincart.co.ukWhere personal data about you is obtained from someone else, KinCart will provide privacy information where required by applicable data-protection law and subject to any relevant legal exceptions.
5. Sensitive and high-risk information
KinCart is designed for everyday, non-clinical coordination.
It is not intended to collect or operate as the system of record for sensitive medical, safeguarding, legal, security or other high-risk information.
Do not use KinCart to store:
- emergency instructions;
- safeguarding concerns;
- passwords;
- authentication codes;
- banking credentials;
- payment-card information;
- door or alarm codes;
- sensitive access-security information;
- confidential legal information;
- critical legal deadlines;
- confidential workplace information;
- diagnoses;
- detailed symptoms;
- treatment instructions;
- medication dosages;
- emergency health information;
- formal care plans;
- risk assessments;
- unnecessary sensitive information about children.
An ordinary practical matter may sometimes relate to something such as collecting an item from a pharmacy or attending an appointment.
Keep such information minimal and avoid adding unnecessary medical detail.
If KinCart becomes aware that prohibited sensitive information has been entered, it may restrict, remove or otherwise protect that information and assess what further action is legally required.
Where KinCart is required to process special-category personal data, it will only do so where an appropriate lawful basis and applicable special-category condition are available.
6. Why we use personal data
KinCart may use personal data to:
- provide and operate the KinCart beta;
- create and maintain accounts;
- authenticate users;
- create and operate Households and Support Circles;
- manage Membership and invitations;
- maintain separation between contexts;
- display authorised Needs, Schedules, Key Context and Activity;
- provide Need Conversation;
- provide available Need-Linked Spend functionality;
- provide Ask Kin within the member's authorised Context;
- provide optional Quiet Updates and manage push-delivery preferences;
- provide optional personal calendar connections for Schedules;
- support context switching;
- preserve authorised repair and continuity history;
- provide requested preferences;
- investigate technical faults;
- maintain security;
- prevent misuse;
- understand whether the beta is being activated and used as intended;
- understand how people reach the beta;
- improve reliability and user experience;
- respond to feedback and support requests;
- handle privacy rights;
- comply with legal obligations.
KinCart does not use these purposes as permission to create member rankings, contribution scores, behavioural performance profiles or cross-member comparisons.
7. Lawful bases
The lawful basis depends on why the information is being processed.
CONTRACT
KinCart may rely on contract where processing is necessary to provide the beta service you have chosen to use.
This may include:
- account access;
- Membership;
- invitations;
- Needs;
- Schedules;
- Activity;
- Need Conversation;
- other core product functions.
LEGITIMATE INTERESTS
KinCart may rely on legitimate interests where reasonably necessary to:
- operate a secure and reliable beta;
- diagnose faults;
- prevent misuse;
- understand product activation;
- understand whether the beta is working as intended;
- maintain and improve the service;
- respond to operational enquiries.
Before relying on legitimate interests, KinCart considers the purpose, whether the processing is necessary and the likely impact on the people involved.
KinCart does not rely on legitimate interests as a basis for creating contribution rankings, reliability scores or member performance profiles.
CONSENT
KinCart may rely on consent for genuinely optional activities such as:
- identifiable testimonials;
- public use of screenshots;
- public use of identifiable comments or quotations;
- optional marketing where consent is required.
Where consent is relied on, you may withdraw it without affecting processing that took place lawfully before withdrawal.
LEGAL OBLIGATION
KinCart may process or retain limited information where necessary to comply with applicable law.
8. Who can see information inside KinCart
Information added to a Household or Support Circle may be visible to authorised members of that context.
Exactly what someone can see depends on the feature and their permissions.
Ordinary Membership of one Household or Support Circle does not provide access to another.
An authorised member may be able to see information such as:
- Needs and Need details;
- Schedule information;
- “For” context;
- Keep in View status;
- Could not find this status;
- Need Conversation;
- Activity;
- member display names;
- Key Context in Support Circles where available.
Ask Kin follows the same access boundaries. It may only interpret information that the signed-in member is authorised to access in the selected Household or Support Circle.
Ordinary Membership does not allow Ask Kin to expose financial information where separate financial permission is required.
Before adding information, consider whether everyone authorised to see that part of the context should see it.
9. Financial access and Need-Linked Spend
Financial or spending information may be subject to permissions separate from ordinary Household or Support Circle Membership.
Being a member of a context does not automatically provide access to all available financial information.
Where KinCart allows a member to grant another member access to a Fund or financial layer, that permission applies according to the specific access granted.
KinCart does not require members to share bank credentials, card details, passwords or authentication codes with other members.
Need-Linked Spend may preserve receipt or spending evidence connected to a specific Need without making wider financial information visible to every member.
10. Organisation-sponsored Support Circles
KinCart may test organisation-sponsored Support Circles through controlled pilots.
An organisation funding access does not, merely because it is paying:
- become a member of the Support Circle;
- own the Support Circle;
- obtain unrestricted administrative authority;
- gain access to private Needs;
- gain access to Need Conversations;
- gain access to Activity;
- gain access to Key Context;
- gain access to unrelated personal contexts.
A named professional or organisational representative may participate only where specifically authorised to join that particular Support Circle.
KinCart may provide a sponsoring organisation with appropriately bounded programme information where this has been specifically defined, is lawful and does not unnecessarily expose private everyday coordination.
If a future sponsored arrangement creates different controller or processor responsibilities, the relevant participants will receive additional privacy information where required.
11. Service providers
KinCart uses service providers to help operate the beta.
These may include providers of:
- hosting;
- database infrastructure;
- authentication;
- storage;
- email or service communications;
- technical support;
- error monitoring;
- other infrastructure needed to operate KinCart.
These providers may process personal data only for relevant service purposes and subject to applicable contractual and legal requirements.
KinCart does not sell personal data to advertisers.
KinCart does not provide advertisers with access to private Household or Support Circle content.
KinCart may disclose limited information where required by law or where reasonably necessary to establish or defend legal claims, prevent fraud or protect people from serious harm.
12. International transfers
Some service providers may process personal data outside the United Kingdom.
Where personal data is transferred internationally and UK data-protection law requires a transfer mechanism, KinCart will use an applicable lawful arrangement appropriate to the provider and transfer.
This may include:
- a destination covered by UK adequacy regulations;
- recognised contractual protections;
- another legally recognised safeguard.
The relevant safeguard depends on the actual provider and processing arrangement.
You can contact:
privacy@kincart.co.ukfor more information about safeguards relevant to your personal data.
13. How long we keep information
KinCart keeps personal data only for as long as it is reasonably needed for the purpose for which it is being processed.
Retention may depend on:
- whether an account remains active;
- whether a Household or Support Circle remains active;
- the need to maintain authorised shared history;
- security and fraud-prevention requirements;
- unresolved support or privacy requests;
- legal obligations;
- disputes;
- provider backup cycles.
The Activity currently shown inside KinCart covers:
- the last 30 days for a Household;
- the last 90 days for a Support Circle.
These are product display windows.
They do not mean that every underlying security, audit, backup or other technical record is automatically deleted after 30 or 90 days.
Account and shared-context information may remain while the relevant account or context is active.
After deletion or account closure, limited data may remain temporarily where reasonably necessary for security, legal compliance, dispute handling, backups or other legitimate technical requirements.
Feedback may be kept while it remains relevant to product development or an unresolved enquiry.
Records concerning privacy requests may be retained where necessary to demonstrate how those requests were handled.
14. Shared history and Former Members
KinCart is designed to preserve understandable shared history when Membership changes.
If someone leaves or is removed from a Household or Support Circle, that person's live access normally ends.
Historical Activity does not necessarily disappear simply because Membership ends.
KinCart may retain the fact that an action occurred while adapting how the former participant is identified in historical records.
This is intended to preserve the meaning of shared Activity without unnecessarily continuing to expose a former member's identity.
15. Your rights
Depending on the circumstances and the lawful basis involved, applicable data-protection law may give you rights to:
- access personal data;
- correct inaccurate or incomplete information;
- request deletion in applicable circumstances;
- request restriction of processing in applicable circumstances;
- object to processing based on legitimate interests;
- receive certain information you provided in a portable form where the right to portability applies;
- withdraw consent where processing is based on consent.
These rights are not absolute and different rights apply in different circumstances.
You can delete your KinCart account directly from Settings → Data & privacy. For other rights requests, contact:
privacy@kincart.co.ukKinCart may need information to verify your identity before acting on a request.
16. Your right to object
You may have the right to object to processing based on KinCart's legitimate interests.
Where a valid objection applies, KinCart will stop the relevant processing unless there are compelling legitimate grounds to continue or processing is required for legal claims.
To object, contact:
privacy@kincart.co.uk17. Children
The current KinCart beta is for people aged 18 or over.
Do not create an account for a child or invite anyone under 18 to participate.
Adults may coordinate ordinary practical matters involving children but should not add sensitive personal information about them.
If KinCart becomes aware that an account has been created directly for a child, it may restrict or close the account and take appropriate steps regarding the associated information.
If KinCart later becomes available to younger people, its product design, privacy approach and safeguards will be reviewed before that change.
18. Security
KinCart uses reasonable technical and organisational measures intended to protect beta information.
These may include:
- authentication;
- access controls;
- context and permission boundaries;
- operational safeguards;
- technical monitoring;
- controls around service providers.
No online service can guarantee absolute security.
The restriction on sensitive and high-risk information remains important even where security controls are in place.
19. Automated processing and member scoring
KinCart does not use personal data during the beta to make solely automated decisions that produce legal or similarly significant effects about users.
KinCart does not automatically:
- rank members;
- score contributions;
- judge reliability;
- measure individual member performance;
- compare members through performance dashboards.
Automated assistance used for features such as receipt extraction or suggestions does not replace the member's confirmation where confirmation is required by the product.
Ask Kin is designed to answer bounded factual or product-guidance questions from authorised KinCart information. It does not make solely automated decisions that produce legal or similarly significant effects about members.
20. Service messages and marketing
KinCart may send communications reasonably necessary to operate the beta.
If a member enables Quiet Updates, KinCart may also send optional device notifications about changes in a selected Household or Support Circle. Device notification permission can be changed through KinCart and the device or browser settings.
These may include:
- account messages;
- invitation information;
- security notices;
- privacy notices;
- material service changes;
- essential support communications.
Optional marketing, promotional announcements or research communications will be handled separately and only sent where KinCart has an appropriate legal basis and has complied with applicable electronic-marketing requirements.
Choosing not to receive optional marketing does not prevent necessary service communications.
KinCart will not publish an identifiable testimonial, quotation, screenshot or private context information for marketing without separate permission.
21. Cookies, browser storage and similar technologies
KinCart may use browser or device storage and similar technologies where needed for:
- authentication;
- security;
- session continuity;
- active-context selection;
- requested preferences;
- push-notification subscription and delivery state where Quiet Updates are enabled;
- calendar-subscription connection state where that feature is used;
- other functions needed to provide the service.
If KinCart uses non-essential analytics, tracking or campaign-measurement technologies for which consent is required, those technologies will only be used where the required user choice has been obtained.
More information about the technologies actually used may be provided through separate cookie, device-storage or similar information.
22. Changes to this Privacy Notice
KinCart may update this Privacy Notice as the service develops, service providers change or legal and privacy requirements evolve.
Where a change materially affects how personal data is processed, KinCart will make reasonable efforts to bring the change to users' attention before or when it takes effect.
The version and effective date at the top identify the notice currently in force.
